Fleetio partners with FuelMaster for on-site fuel management

Fleetio is debuting a new integration with FuelMaster by Syntech Systems to help fleets track, manage, and report their on-site fuel usage. The integration will see FuelMaster’s FMLive solution syncing fuel transaction data between the pump and Fleetio.

"Managing fuel at scale requires precise tracking and monitoring to prevent waste and control costs," said David Landoch, sales director at Syntech Systems. "By integrating our data with Fleetio, we're giving these fleets the automated tools they need to make smarter budget decisions and prepare their organizations for success."

The integration will eliminate the need for manual fuel tracking and reporting tasks, the companies stated, as FMLive will provide Fleetio with transaction data such as cost, volume, fueling station, and odometer readings. Additional features will include transaction information for each asset and fueling location, fuel fraud detection with tank capacity alerts in Fleetio and driver and pump access controls through FMLive, and the ability to view fuel costs and maintenance data. This will let managers compare fuel expenses, repair costs, and vehicle depreciation.

Increase uptime, prevent fraud

The setup is simple, requiring existing Fleetio customers who already use FuelMaster to simply link their accounts, and allows fleet managers to increase uptime through more informed planning.

“Accurate fuel data management helps fleets plan fuel replenishment schedules more effectively, preventing unexpected shortages that could ground vehicles,” explained Stefano Daneri, product marketing manager, integrations & partnerships at Fleetio. “With real-time tracking, fleet managers can monitor fuel levels across multiple locations and ensure tanks are replenished proactively.”

In addition to the uptime benefits, the integration also helps to prevent unauthorized fuel use and fraud.

“The system pairs tank capacity alerts in Fleetio with driver and pump access controls in FMLive, ensuring that only authorized vehicles and personnel can access fuel. If a driver attempts to fuel a personal vehicle or exceeds the assigned fuel limit, alerts can be triggered for immediate review,” Daneri told Fleet Maintenance. “Tracking odometer readings and vehicle assignments in real time helps detect discrepancies, such as fuel transactions that don’t match recorded mileage.”

Without real-time tracking, discrepancies in fuel usage can easily go unnoticed, and he provided an example.

“Consider a large fleet responsible for maintaining city infrastructure, with dozens of vehicles refueling at multiple on-site locations. With this integration, managers can instantly access detailed reports showing fuel consumption by vehicle, driver, and location,” Daneri offered. “If a specific site is consuming more fuel than expected, the manager can investigate whether the issue is operational inefficiency, fuel leaks, or unauthorized usage. The insights gained from real-time data allow them to adjust fueling policies, optimize routes, or even negotiate better fuel procurement strategies, ultimately reducing waste and lowering costs.”
